APS Certificate — Mandatory Since 2021

Every Indian student applying to a German university must have this. No exceptions.

What is APS and Why Does Germany Require It?

APS (Akademische Prüfstelle) is a document verification service run by the German Embassy in India. It verifies that your Indian certificates are genuine and checks that your academic record meets German university standards. Since 2021, APS certification is mandatory for all Indian students applying to German universities — without it, your application will be rejected regardless of grades.

Create an APS Online Account

Go to aps-india.de and register. Fill in your personal details, educational background, and select the city where you want your appointment.

Book Your Appointment

Immediate

Appointments fill up fast — book at least 6–8 weeks in advance. Delhi and Mumbai are busier than Chennai. Check all three offices for earlier slots.

Prepare Your Documents

Required: All mark sheets (semester-wise), degree certificate or provisional certificate, 10th and 12th mark sheets, passport (valid + copy), passport-size photos (4), APS application form (printed from portal), and any certificates of awards/achievements.

Pay the APS Fee

At appointment

Fee: ₹18,000 (approximately). Payment modes accepted vary by office — check aps-india.de for current accepted methods. Keep the receipt.

Attend In-Person Interview

30 min appointment

A 15–30 minute interview where an APS officer reviews your documents and may ask questions about your academic background and field of study. Be honest and prepared to explain grade discrepancies if any.

Wait for Certificate

4–8 weeks

Processing time: 4–8 weeks after the interview. You receive the APS certificate by post. Some applicants get it in 3 weeks; peak season (April–June) can take 10+ weeks. Apply early.

German Grade Conversion — The Modified Bavarian Formula

The exact formula German universities use to convert your Indian percentage or CGPA.

The Formula

German Grade = (Nmax − N) × 3 / (Nmax − Nmin) + 1

Where: N = your score, Nmax = 100 (maximum possible), Nmin = 30 (minimum passing)

For Indian universities (percentage system): Nmax = 100, Nmin = 30 (some use 36 or 40 — check individual university cutoffs). The simplified version most commonly used:

CGPA Conversion

CGPA on a 10-Point Scale

Most Indian universities (VIT, SRM, Manipal, etc.) use 10-point scale.

Convert: CGPA × 10 = Percentage

Then apply Bavarian Formula above

Example: 8.2 CGPA → 82% → German Grade: (100-82)×3/70+1 = 1.77

CGPA on a 4-Point Scale (GPA)

Some private universities use 4.0 scale. Use the formula provided by your specific university.

Important: Each University Sets Its Own Cutoff

The Bavarian Formula converts your grade — but each German university sets its own NC (Numerus Clausus) cutoff. TU Munich Computer Science may have NC 1.6 (≈85%+) while TU Chemnitz Computer Science may have NC 2.5 (≈65%+). Always check the specific program's admission requirements on the university website. How Many Universities Should You Apply To?

Apply to 6–10 programs minimum: 2 reach programs (grade slightly below cutoff), 4–5 target programs (grade matches cutoff), 2 safety programs (grade well above cutoff). Application is free or very low cost for public universities — applying to more costs you almost nothing except time. Acceptance rates at top programs are 10–20% for international students; diversity of applications protects you.

Uni-Assist — The Centralised Application Portal

About 170 German universities use Uni-Assist as their application gateway for international students.

What is Uni-Assist?

Uni-Assist (Arbeits- und Servicestelle für internationale Studienbewerbungen) is a centralised service that processes international student applications for participating German universities. Instead of applying separately to 10 universities, you submit once through Uni-Assist and it forwards your documents to each university. Not all German universities use it — some have their own portals. Always check the university's admission webpage first.

Create Account at uni-assist.de

Register with your email. The portal is available in German and English. One account covers all universities in all semesters.

Select Your Universities and Programs

Search for your target universities. Check which ones use Uni-Assist (the list is on their website). Add all universities in one application — pay once for the cycle.

Upload Documents

Transcripts (all semesters), degree certificate or provisional, APS certificate, language certificate (IELTS/TOEFL/TestDaF), CV, motivation letter (per program), reference letters. Upload PDF only — max file sizes apply.

Pay Fees

Pay by credit card or bank transfer. Payment must be completed before your application is processed. Keep the payment confirmation.

Wait for VPD

Uni-Assist issues a VPD (Vorprüfungsdokumentation) — a pre-assessment document. This takes 4–6 weeks. Some universities require you to submit the VPD separately to their own portal along with your Uni-Assist application.

Individual universities make admission decisions independently after receiving your Uni-Assist materials. Login to each university's student portal to track status. Decision timelines: 4–12 weeks after application deadline.

Sperrkonto — The German Blocked Account

Required for student visa. This is the German government's proof that you can support yourself financially.

What is a Sperrkonto?

A Sperrkonto (blocked account) is a German bank account where you deposit a fixed amount to prove you can cover living expenses for one year. The money is "blocked" — you cannot withdraw it all at once. Each month after arriving in Germany, you can withdraw one month's allowance.

How to Open a Sperrkonto

Choose a Provider

Fintiba is most commonly recommended by Indian students (fastest, English support, very clear process).

Register Online

Create account on your chosen provider's website. You'll need your passport and admission letter (or letter of intent to apply). Some providers accept before you have an admission letter.

Complete Identity Verification

Video KYC or upload identity documents. Fintiba uses IDnow (video call, takes 10–15 min). Do this from India — it works fine.

Transfer €11,904 from India

Transfer via SWIFT from your Indian bank account. RBI permits this under LRS (Liberalised Remittance Scheme) — up to $250,000/year. Your bank will need the purpose code (education abroad) and the Sperrkonto's IBAN. Transfer takes 2–5 business days to arrive.

Receive Blocking Certificate

Once the money arrives and is verified, you receive a Blocking Certificate (PDF) within 1–3 days. This is what the German embassy requires for your visa appointment.

Can You Use Fixed Deposit Instead?

Some embassies previously accepted Indian FD certificates as financial proof. As of 2024–2026, the German Embassy in India requires a Sperrkonto from an approved German provider. FDs from Indian banks are no longer accepted as the primary financial proof. However, additional funds in Indian accounts can support your visa case — they just cannot replace the Sperrkonto.

Student Visa (Studienvisum)

For students who already have an official admission letter from a German university. This is the full visa — you can enter Germany and enroll directly.

Student Applicant Visa (Studentenbewerbervisum)

For students who have applied but not yet been admitted. Allows you to enter Germany and complete your application process in person. Requires a Zulassungsbescheid (conditional offer) or proof of pending application.

Visa Appointment: What to Expect

Book Appointment (3–6 months in advance)

German Embassy visa slots in India fill up extremely fast — often 3–5 months ahead. Book at: germany.diplo.de. Available cities: New Delhi, Mumbai, Chennai, Kolkata, Bangalore. Check all cities for earlier slots.

On the Day: Bring Everything in Order

Bring all originals + 2 copies of each document. Organise them exactly as listed on the embassy website. Bring a folder with tabs. Officers process hundreds of applications daily — making theirs easier helps yours.

Biometric Data and Interview

Fingerprints and photo are taken. A short interview may follow — questions about your program, plans after Germany, and financial situation. Be direct and honest. This is routine, not adversarial.

Wait for Decision

Processing time: 4–12 weeks. Track via the embassy's online system. Email reminders are sent when a decision is made. Do not travel before receiving your passport with the visa.
